Operations Coordinator – Vascular Interventional Center
Location: Sentara Norfolk General Hospital
Schedule: Monday – Friday, 7:30 AM – 4:00 PM

Position Summary:
Sentara Norfolk General Hospital is seeking a detail-oriented and proactive Operations Coordinator to support daily operations within the Vascular Interventional Center (VIC). This dual-role position supports the Vascular Access Team with procedure scheduling and coordination while also managing the VIC Control Desk to ensure smooth and timely patient flow throughout the department.
Key Responsibilities:
Vascular Access Coordination:
• Schedule all PICC and Midline consults and procedures within Epic.
• Collaborate with multidisciplinary teams including physicians, nursing, case management, and ancillary departments to obtain medical clearance, consults, and accurate provider orders.
• Review patient charts for necessary documentation and lab work (e.g., INR, platelets) prior to procedures.
• Maintain a tracking system for consults, ensuring timely and appropriate follow-up.
• Serve as a communication liaison between the Vascular Access Team and inpatient units to support procedural planning.
Control Desk Operations:
• Serve as the primary Operations Coordinator at the VIC Control Desk to manage daily case flow and same-day add-on procedures.
• Monitor the daily procedural schedule and assist with efficient room utilization and coordination.
• Answer incoming calls from providers, anesthesia, and other departments regarding case logistics and scheduling updates.
• Call stroke and thrombectomy alerts to the hospital operator in accordance with Sentara protocols.
• Provide real-time communication support and facilitate coordination across multiple procedural teams, ensuring timely response and prioritization of urgent cases.
Qualifications:
Required:
• High School Diploma or equivalent
• Excellent communication and interpersonal skills
• Strong time management, organization, and multitasking abilities
• Proficiency in Microsoft Office Suite (Excel, Word, Outlook)
• Comfortable working in a fast-paced and high-acuity hospital environment
Preferred:
• Experience using Epic or another EMR system
• Familiarity with medical terminology, anatomy & physiology, and relevant laboratory values (e.g., PT/INR, platelets)
• Prior experience in hospital operations, scheduling, or control desk support
• Understanding of vascular and interventional radiology workflows
Work Environment:
• Located in the Vascular Interventional Center at Sentara Norfolk General Hospital
• Frequent collaboration with procedural teams, anesthesiology, physicians, and nursing
• High-acuity and time-sensitive case coordination responsibilities
• Control desk is central to communication and case management during operational hours
